Changes & Cancellation Policies

In the unlikely event that a Dine Wellington, Burger Wellington or Cocktail Wellington participant; Festival Event or Food Truck needs to withdraw from the festival programme, the participant/organiser must inform the Visa WOAP team as soon as possible.

Dine Wellington, Burger Wellington & Cocktail Wellington

— making changes —
> Up to 11.59pm 28 March 2017: changes can be made to any Dine Wellington menu, Burger Wellington or Cocktail Wellington offer. To make the changes, please contact us as soon as possible with the change/s required.

> From 12am, 29 March 2017: the Visa WOAP team are in programme guide and website production. Changes requested after this time will be made at the discretion of the Visa WOAP team.

> Friday 5 May 2017 (TBC): The Programme Guide is dispatched for printing and NO CHANGES can be made. Changes can still be made to content on visawoap.com

> From 5pm, 6 June 2017: the Festival Programme is released to the public. In the event that any changes are made after this time, the participant/organiser is held accountable for the following actions:

      • Inform any customers holding bookings for any offer that the offer has now changed
      • Provide the Visa WOAP team with written confirmation that all bookings held have been contacted and informed of the change
      • Any complaints received by the Visa WOAP team relating to the participant/organiser not fulfilling customer bookings due to the change will be directed back to the organiser.
      • Failure to make contact with any customer holding bookings and informing them of any offer change, will result in the participant/organiser being denied participation in Visa WOAP in future years.

— cancellations —
> Before 11.59pm, 28 March 2017: Cancellation of Participation received will incur no charge.

> From 12am, 29 March 2017 onwards: Cancellations will be subject to paying cancellation fees.  The cancellation fee is equal to the full participation fees, including the provision of your restaurant voucher.

> From 5pm, 6 June 2017: In the event the withdrawal has been made after this specific time, the participant/organiser is held accountable for the following actions:

      • Informing any customers holding bookings for any offer that the offer is now not available
      • Providing the Visa WOAP team with written confirmation that all bookings held have been contacted and deferred
      • Any complaints received by the Visa WOAP team relating to the particpant/organiser not fulfilling customer bookings will be directed back to the organiser.
      • Please note failure to pay cancellation fees or making contact with any customer holding bookings for the withdrawn offer, will result in the particpant being denied participation in Visa WOAP in future years.

Festival Events

— making changes —

    • Please note failure to make contact with any customer holding bookings and informing them of any Festival Event change, will result in the Festival Event organiser being denied participation in the festival in future years.

— Festival Event Cancellations —
> Before 11.59pm, 28 March 2017: withdrawal of a Festival Event from the festival programme will incur no charge.

> From 12am, 29 March 2017 onwards: withdrawal of a Festival Event from the festival programme will be subject to cancellation fees and forfeit the deposit fee paid.
The Festival Event organiser will forfeit 20% of the ticket price of each ticket sold OR the maximum number of tickets to be sold to cover the administration fees of processing the cancellation of that Festival Event. This 20% fee will be calculated based on the information the Festival Event organiser provides the Visa WOAP team at the time of Festival Event confirmation and will be invoiced on a 7-day payment term.

The Festival Event organiser is held accountable for the following actions:

    • Inform all Festival Event attendees holding bookings for that Festival Event, that the Festival Event is now cancelled/changed due to inclement weather
    • Provide the Visa WOAP team with written confirmation that all bookings held have been contacted and deferred/REFUNDED 100% OF THE TICKET PRICE, including booking fees.  Note: The Festival Event organiser is liable to refund all booking fees including credit card fees and ticketing fees paid by the customer.  This is not the responsibility of the Visa WOAP team or Ticketek.
    • Any complaints received by the Visa WOAP team relating to the Festival Event organiser not informing Festival Event attendees that the Festival Event has been cancelled will be directed back to the Festival Event organiser.

— Cancellation due to no or low ticket sales —
In the event that the Festival Event organiser chooses to withdraw/cancel their Festival Event due to zero or low ticket sales, the Festival Event organiser will be liable to pay the festival management team an administration fee of 7.0% of anticipated ticket sales. This will be invoiced on a 7-day payment term.

The Festival Event organiser is held accountable for the following actions:

    • Inform all Festival Event attendees holding bookings for that Festival Event, that the Festival Event is now cancelled
    • Provide the Visa WOAP team with written confirmation that all bookings held have been contacted and deferred/REFUNDED 100% OF THE TICKET PRICE, including booking fees. 
    • Note, the Festival Event organiser is liable to refund all booking fees.  This is not the responsibility of the Visa WOAP team or Ticketek.
    • Any complaints received by the Visa WOAP team relating to the Festival Event organiser not informing Festival Event attendees that the Festival Event has been cancelled will be directed back to the Festival Event organiser.

— Cancellation due to inclement weather —
In the unlikely event that the Festival Event organiser needs to cancel their Festival Event due to bad weather, the Visa WOAP team need to be informed as soon as possible.

The Festival Event organiser is held accountable for the following actions:

    • Inform all Festival Event attendees holding bookings for that Festival Event, that the Festival Event is now cancelled/changed due to inclement weather
    • Provide the Visa WOAP team with written confirmation that all bookings held have been contacted and deferred/REFUNDED 100% OF THE TICKET PRICE, including booking fees. 
    • Note, the Festival Event organiser is liable to refund all booking fees.  This is not the responsibility of the Visa WOAP team or Ticketek.
    • Any complaints received by the Visa WOAP team relating to the Festival Event organiser not informing Festival Event attendees that the Festival Event has been cancelled will be directed back to the Festival Event organiser.
    • In the event that any Festival Event is cancelled as a result of bad weather, the Visa WOAP team WILL NOT refund the 7.0% Commission Participation Fee.
    • Please note failure to inform any Festival Event attendees of any Festival Event cancellation and issue refunds, and/or failure to pay any Participation Fees, will result in the Festival Event organiser, being denied participation in the Visa WOAP festival in future years.

Food Trucks

— Food Truck Cancellations —
> Before 11.59pm, 28 March 2017: Withdrawal of a Food Truck operator from the festival programme will incur no charge.

> From 12am, 29 March 2017 onwards: Withdrawal of a Food Truck operator from the festival programme will be subject to paying cancellation fees. As a result, the Food Truck operator will forfeit $150 +GST to cover the administration fees of processing the cancellation of that Festival Event. This will be invoiced on a 7-day payment term.
